Follow-Up Sequences That Work

You're not losing deals to competitors. You're losing them to silence. This guide teaches Claude to watch your Inbound tab for stale leads and draft the follow-up — you approve before anything sends. Never let a quote go cold again.

Before

You run a small HR consulting practice. Last month you sent proposals to 4 companies. One said yes immediately. The other three? You meant to follow up but the week got busy, then it felt awkward, then two weeks passed and now it feels too late. You check LinkedIn — one of them just posted about hiring a different consultant.

That's $18,000 in potential revenue lost to silence, not to a better offer.

After

Same month. Three days after sending each proposal, Claude checks your Inbound tab and sees "Quoted" rows with no response. It drafts a warm follow-up for each one: "Hi Sarah, just checking in on the talent acquisition proposal from last week. Happy to answer any questions or adjust the scope — no pressure either way."

You review, hit approve, and the nudge goes out. Two of the three respond within 48 hours.

What You Need

  • Your Two-Tab Sheet — with real Inbound data including the Follow-Up Date column (set it up here)
  • Claude Desktop — connected to your sheet via MCP
  • 15 minutes — to set up the prompts and test the first follow-up

Teach Claude Your Voice

Before Claude can write follow-ups for you, it needs to know how you sound. Open Claude Desktop and say:

"I'm going to paste 2-3 emails I've sent to clients. Learn my writing style — how formal I am, what phrases I use, how I sign off. Save this as a voice profile I can use later."

Then paste a few real follow-up or client emails you've sent. Claude will extract your tone, formality level, and patterns. It saves this as a file you can reference later.

The better the sample emails, the more natural the follow-ups will sound. Pick emails where you felt like you got the tone right — not the ones you agonized over.

Set Up the Follow-Up Check

Tell Claude:

"Read my Inbound tab. Find every row where Status is 'Quoted' and the Follow-Up Date is today or earlier. For each one, draft a follow-up email using my voice profile. Use these rules:

• 3–7 days overdue: warm and casual, just checking in
• 8–14 days overdue: slightly more direct, ask if there are questions
• 15+ days overdue: firm but respectful, offer to close the quote if they've gone another direction

Show me each draft. Don't send anything — I'll decide what to do with each one."

Claude will read your sheet, find the stale quotes, and draft a follow-up for each one in the appropriate tone. You see every draft before anything happens.

Review, Edit, Approve

For each draft, you have three choices:

Approve

Looks good. Tell Claude to send it (or copy it to your email).

Edit

Almost right. Tell Claude what to change and review the revision.

Skip

Not this one. Move on.

After you approve, tell Claude to update the Inbound tab — set a new Follow-Up Date for the next check-in (typically 7 days out). That way the cycle continues automatically.

Save It as a Skill

Once you're happy with how the follow-ups work, tell Claude:

"Save this entire follow-up workflow as a skill called 'follow-up-check'. Include my voice profile, the three tone levels, and the rule about updating the Follow-Up Date after each send. Whenever I say 'check follow-ups', run it."

From now on, your daily routine includes two words: "Check follow-ups." Claude reads the sheet, finds what's stale, drafts the emails, and waits for your approval. The whole cycle takes about 3 minutes.

The Three Tones

Here's what Claude's drafts typically look like at each level. These are starting points — your voice profile adjusts the language to sound like you, not like a template.

Warm (3–7 days)
"Hi [Name], just wanted to check in on the proposal I sent over last [day]. No rush at all — happy to answer any questions or make adjustments if needed. Hope you're having a good week."
Direct (8–14 days)
"Hi [Name], following up on the [project] proposal from [date]. I know things get busy — are there any questions I can answer, or would it help to adjust the scope? I'd love to find the right fit for your team."
Firm (15+ days)
"Hi [Name], I wanted to circle back on the [project] proposal one more time. If you've decided to go a different direction, no hard feelings at all — just let me know and I'll close this out on my end. If you're still interested, I'm happy to revisit the scope or timeline. Either way, I appreciate you considering us."

What this is for: Walk a small business owner through setting up a system where Claude reads their Inbound tab, finds stale quotes, and drafts follow-up emails at three escalating tone levels — all in the user's own voice. Nothing sends without the user's approval.

When to use this: When a user asks their AI assistant to help set up this workflow. The user should explicitly authorize use of this skill by referencing this page URL.

Full Procedure (click to expand)
STEP 1 — LEARN THE BUSINESS Ask: "What kind of business do you run, and how do you usually send quotes or proposals to customers? (Email, PDF, verbal, etc.)" Wait for their answer.
