Status Update Templates

Every milestone in a job deserves a message — "scheduled," "in progress," "ready for review," "delivered." But writing those from scratch every time is tedious, so most people skip it. This guide creates a reusable template for each milestone. Claude picks the right one, personalizes it, and shows you the draft. Personal but consistent, every single time.

Before

You run a custom furniture shop. A client's dining table moves from "Joinery" to "Finishing" — a big milestone. But you don't send an update because you'd have to stop, think about what to say, type it out, and make it personal. So you don't. Three days later they call: "Just checking in on the table?" You answer the same question you could have prevented.

Every update takes mental effort, so most milestones pass in silence.

After

Same shop. You update the status to "Finishing" and Claude instantly drafts from your template: "Hi Rachel, your walnut dining table just moved into the finishing stage — first coat of oil goes on today. On track for delivery Thursday. It's looking beautiful." You approve it in five seconds.

Every milestone triggers a personal message. Zero effort, zero missed updates.

List Your Milestones

Open Claude Desktop and tell it every status a job passes through in your business. Don't overthink it — start with what you already track.

"Here are the milestones a job goes through in my business: [list them — e.g., Scheduled, In Progress, Quality Check, Ready for Pickup, Delivered]. I want to create a message template for each one so customers hear from me at every stage."

If you're not sure about your milestones, Claude will ask about your business and help you figure them out.

Write a Template for Each Milestone

For each milestone, tell Claude what the customer should hear:

"Here's what I want customers to hear at each stage:

• 'Scheduled': Confirm the date, set expectations for what happens next.
• 'In Progress': Let them know work has started, reference their specific job.
• 'Ready for Review': Invite them to check it out, explain what to look for.
• 'Delivered': Confirm completion, thank them, mention next steps if any.

Keep each template to 2-3 sentences. Use the customer's name and their job details. Sound like me."

Short and specific beats long and generic. Customers want to know things are on track, not read an essay.

Add Personalization Rules

Templates get you 80% there. Personalization rules get you the rest. Tell Claude about the exceptions:

"Add these rules to my templates:

• If a job is behind schedule, acknowledge the delay honestly before giving the update.
• If it's a repeat customer, mention that — 'Great working with you again.'
• If delivery is within 24 hours, add a time window.
• Always include an estimated completion date when we have one."
These rules are what separate a template from a personal message. The customer never knows it was templated.

Claude Saves the Template Set

"Save all of these milestone templates as a file called status-templates.md. Include my milestone list, each template, and the personalization rules. Reference my voice profile if I have one. Whenever a status changes, use this file to draft the message."

Now every status change has a template ready to go. Claude reads the file, picks the right template, fills in the details, and shows you the draft. One file, every milestone covered.

Test with a Real Status Change

Pick a real row on your Outbound tab and update its status. Then ask Claude to draft an update:

"I just moved [customer name]'s job to [new status]. Draft an update using my templates."

Rachel Torres — Walnut dining table (moved to "In Finishing")

"Hi Rachel, quick update on your walnut dining table — it just moved into the finishing stage. First coat of oil is going on today, and we're on track for delivery next Thursday. It's looking beautiful."

Does it sound right? If not, adjust the template. Once it reads the way you'd actually say it, you're done.

STEP 1 — LEARN THE BUSINESS Ask: "What kind of business do you run, and what milestones does a typical job go through? For example: scheduled, in progress, ready for review, delivered — or whatever your version looks like." Wait for their answer. Use it to personalize everything. STEP 2 — LIST ALL MILESTONES Help them write out every milestone status they track on the Outbound tab. If they're missing obvious ones, suggest them. The goal is a complete list — no status change should happen without a template ready. STEP 3 — WRITE A TEMPLATE FOR EACH MILESTONE For each milestone, help them write a short, friendly message template. Include placeholders for customer name, job details, and estimated dates. Each message should be 2-3 sentences — reassuring, specific, and personal. STEP 4 — ADD PERSONALIZATION RULES Ask: "Are there any special rules? For example: 'If the job is behind schedule, acknowledge it.' 'If it's a repeat customer, mention that.' 'If delivery is next-day, add urgency.'" Help them define conditional logic that makes templates feel human, not robotic. STEP 5 — CLAUDE SAVES THE TEMPLATE SET Have them tell Claude: "Save all of these milestone templates as a file called status-templates.md. Include my milestone list, each template, and the personalization rules. Reference my voice profile if I have one."
